HOW AN ADMINISTRATIVE ASSISTANT I WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily

  • Completing transactional duties with special attention to detail, being organized, and multi-tasking

  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant I, your day-to-day responsibilities will include:

  • EBG has a backlog of paper file folders and other personnel records that need to be digitized and stored electronically

  • EBG requires administrative support to scan workers' compensation claims files, death in service files, medical disability retirement (MDR) files and retirement records

  • WCD is working toward an April 2025 deadline to digitize workers' compensation claim files

  • The hard copy, paper files shall be converted to a digital format (PDF or other designated format)

  • The candidate shall have exceptional attention to detail to ensure all pages, front and back, if applicable, and other file artifacts (such as sticky notes or receipts) are scanned in the same order the pages are found in the paper copy folder

  • The candidate shall be discreet and maintain strict confidentiality of any and all information contained in the files

  • Duties include: Prepping the folder for scanning, which may include removing staples and paper clips, separating dot-matrix perforated printer paper, copying faded or fragile documents at a darker setting to make the legible or scan-able, etc.

  • Scanning the documents, naming the digital file according to the designated naming convention

  • Depositing the newly created digital file in the designated share drive or database location

  • Working with designated EBG personnel who will review the scanned files for acceptance

  • Preparing scanned folders contents for destruction, once destruction is approved (place in bum bag and take to secure trash chute)

  • Creating and updating the scanning SOP for each file or record type. Maintaining a log of scanned documents

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active Top Secret/SCI with Polygraph clearance

  • HS Diploma and 1 year of relevant experience or equivalent combination of education and experience

  • The work schedule for this requirement is very flexible; while not required, the work may be completed in the evenings or on weekends; the candidate will need to be in the office during regular business hours, especially in the beginning, when learning the process and at least one day per week afterwards in order to coordinate with EBG personnel, who will review and approve the scanned items; core hours are 10am-3pm

  • Proficient Word, Excel, Outlook, PowerPoint

  • The position is on customer site

The likely hourly rate for this position is between $19.55 - $26.45. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
