HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The AA is expected to work largely independently while relying on fellow AAs, MSAs, the GTM, and their senior managers for guidance

  • The bulk of the responsibilities are administratively transactional and the AA will be asked to be proactive, resourceful, and a positive individual that is able to represent their primary department to visitors of all levels of seniority

  • No travel is required for this position

  • The AA should be able to perform back-up duties for other offices within the work unit to ensure administrative support coverage

  • The AA should be able to perform basic functions across multiple Sponsor systems to include: Outlook, MS Office, MS Excel and the Sponsor Access Request System

  • The AA will be asked to understand basic use of the Sponsor's Internal Communication Tool, Sponsor Expense System, and the Sponsor's Travel planning databases

  • The customer is willing to support training through Sponsor programs and the company providing ongoing job training to meet core competencies

  • Prior sponsor experience is preferred but not required if the right candidate is able/willing to learn quickly

  • The AA will be asked to initiate and monitor check-in/out procedures for personnel, including submitting new user accounts and access requests on a regular basis and will send status reports of the actions to management groups within the office

  • These typically consist of 3-6 personnel per month and will include updates to phone cards and email aliases

  • The AA will also be responsible for opening/closing conference rooms each day and could be asked to act as the Vault Custodian

  • The AA will be responsible for greeting and escorting visitors and guests along with coordinating VIP access parking and compound access

  • The AA will also coordinate visitor access by passing needed security clearance information

  • The AA will also act as the backup timekeeper for the department and may serve as a backup to other departments as well

  • The AA will manage or assist in managing the administrative workflow and day-to day activities of a work unit

  • They will maintain a schedule of appointments, monitor email, and telephones for the Chief and other officers in the department

  • The AA will lead the day-to-day administrative activities in the department and may be asked to surge or fill in where necessary to other departments within the Mission Center

  • The AA should be able to perform basic IT skills, specifically updating and monitoring spreadsheets and other records in MS Office applications, to include Excel and Word

  • The AA will also assist in preparing books for interview panels by compiling and organizing the books as directed by department management

  • The AA will maintain schedule of appointments, coordinate meetings, and follow-up on requirements bringing them to completion for the Chief and other senior staff within the office

  • The AA will maintain the calendar of 1-3 senior managers on a day to day basis

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

  • Core hours are expected to be at minimum of 0900-1500 with flexibility around those times for arrival/departure

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
